Sometimes on the android app its signs you out or completely fails to load. Re-opening the app usually fixes it but it can be frusterating.

Great software for teams of all sizes
Comentarios: I've been using this software for 5 years, first as an employee then as an employer. Ease of use for both parties is fantastic and it's well worth paying for to save the time. When I change places of business, if I have a choice, I will choose When I Work again and again.

- Shift templates, makes scheduling a lot easier - The ability to copy and paste any shift, even faster than clicking and choosing - Simple to add and remove employees - App is fairly easy to use - Time clock is awesome, easy to use
Contras:
- Looking at the full staff schedule on a particular day can be tedious. - For those making schedules, it's so much easier to do on a computer - In order to have a printed schedule, it downloads the PDF which you then have to print. I wish this printed right off the website.

Comentarios: Overall When I Work is a great time tracking solution. It works well, and the report outputs are easy to work with when running payroll. The only thing that could improve is that the sync feature would work with Quickbooks simple start and essentials. Currently the sync function only works with quickbooks plus and above, and not all my clients have a plus level subscription, adding manual entry for payroll.

The ability for employees to clock in from their smart phone and the system logging their location is very useful. The chat feature also helps employers to communicate the days tasks quickly.l
Contras:
The pricing structure seems to always be changing and every time I recommend it to a new or existing client, the current pricing is different than what my other clients are on. I need to be constantly checking the newest pricing before I recommended and begin setup for new accounts.

In addition to this platform my workplace has to use another site in order to offer employee benefits. Would be nice to have everything in one.

Deceptive & misleading pricing practices, little integration, but certainly quite slick.
Puntos a favor:
Looks slick, appears to offer a lot (which it does, at a cost, see below...) Customer support is very responsive - live chat, email, etc. I may not like their answers (see below) but I can't fault their timely attention, their patience, their attentiveness.
Contras:
1. Pricing Practices The page at wheniwork.com/pricing says nothing, just that schedulling is free for less than 75 employees (and anything over is a "contact us for enterprise" price, which is fine). Great, I think, I'll sign up, start working with it. Glad I didn't invest much time. I set up a few employees, downloaded the apps, started working out the wrinkles. And after a few hours of looking, and testing, and reading, it looks good, but... ...then I discover that basic features like scheduling more than 10 days ahead (!) are paid-for. So is time tracking. Etc. That's ok to charge, but not ok to deceive - and there's *no* simple way right now to see a comparison of features and costs before getting signed-up. And this is not a small bump. You can't bolt-on a little extra. To get a proper working app, the minimum number of users they offer 20 minimum and the time attendance module adds something like 50% on top. But really it is transparency and deceptive practices that have *really* turned me against this product in a *very* short period of time - and that is *very* sad. If they'd allowed me to choose up front to devote my time, great; but they didn't. I had to ask support what "long-term scheduling" meant (that being something not included in the free plan). That means more than 10 days... No other warning of that, that I could see. I feel deceived. 2. App Reliability Others have mentioned glitches. I started working with the iPhone app - it stopped working for some tasks. I contacted support who said it was restricted to my account only, and they would get their developers to look at it. So I stopped using the iPhone app. My wife's Android phone wouldn't recognise her (valid) phone number when accepting a request to log in. So 2 strikes there. Your mileage may vary. 3. Limited Integrations A few years ago, WIW posted on their Facebook page that they used Xero. Some commented then - why no integration? No answer. Years later, still no integration with Xero. No Zapier integration, either. The cynic might think that WIW gets kick-backs / referral fees / bonusnes from Quick Books, Gusto, etc. which is why they're the (very limited) integration "partners". There's an API of course, if I had time. Again, I'd forgive that for a free / cheap deal. But it isn't a free / cheap deal *for a working scheduling solution* - a schedule that doesn't reach into next week is *not* a working schedule. So, yes, I'm annoyed. I feel like I've wasted my time. I feel like I've been deceived. I feel like I signed-up and invested time based upon what is almost a lie. And that sucks - not least because it was so needless. The product isn't awful, the pricing (whilst I may not like it) isn't the worst out there. The limitations are limitations, but every product has some. And that, really, is sad. The silver lining is that the free plan only launched yesterday. So perhaps they'll think again about the offering. And my experience is unlikely to be the same as that people had before me. But it is what it is today - so much so that I've signed-up for GetApp just to leave this review.

As you said, we did just launch our free plan. We hope that many small businesses, including those like you in the apparel and fashion industry, will find value in being able to schedule their employees 10 days in advance and notify them electronically rather than printing out Excel spreadsheets that require their employees to come into a physical location to see their schedule or call a coworker who is currently working to find out when their next shifts will be. As with any new launch, we will continue to try to improve and appreciate your honest and thoughtful feedback about the pricing and how it was displayed to you. Our intention is certainly not to deceive or mislead our customers or potential customers. Comentarios: Satisfied with the overall usage of this product. It's really straight forward, simple to use, helpful, and reliable. Making more time to spend on other areas of your business that are more important.

The simplicity and accuracy are notable. It helps you from scheduling multiple employees on shifts. It allows for employees to swap shifts or release and pick as well. Notifications are immediately sent and acknowledgment of schedule and communications are recorded. Which is absolutely needed to employee accountability.
Contras:
There are potential areas where this program could fail at advising the appropriate authority. If a shift was let go and needed to be picked up. Leading to understaffing concerns.

When I Work Tells Me When I Work
Comentarios: Our employees enjoy being able to see the schedule for the entire organization, as well as breaking down the view into their specific location when needed. They are also notified in real time of any changes that are made, and have the ability to trade shifts with other employees through the app.

When I Work allows us to schedule for all of our locations in one place. We love that we can color code each location and positio, making it easy to break the schedule down into various views.
Contras:
We once attempted to integrate When I Work's time tracking feature, but there were several issues that could not be corrected for our needs.

When I Work: Excellent Solution for Scheduling and Payroll
Comentarios: When I Work helped us so much in scheduling our employees for multiple job sites. It had all the features we needed for scheduling employees, requesting time off, time clock, and integrated with ADP for payroll. We love using When I Work.

When I Work is so easy to use and has all the features we needed for our small business. We scheduled employees, multiple locations, request time off, payroll, confirmed shifts. When I Work had all the features we needed at an excellent price.

There was nothing that was difficult to use about When I Work and their tech support was amazing.

Ease of scheduling
Comentarios: Incredibly useful tool when managing a large amounts of employees, all having different requests and needs within their schedule. You can request your vacation time weeks in advance, right through the app and it goes right to your manager.

Great for time management
Comentarios: As a consultant, our experience has been good. The product is easy to implement and easy to train end users.
Puntos a favor:
We have helped several clients implement this tool and it has been very easy to setup and to train managers and employees to use. Setting up automated reminders, custom schedules, and integration with payroll are the top features our clients appreciate.
Contras:
The primary complaint is that the platform can be slow at times and that it sends out too many alerts.

Okay for micro-busineses but does not scale well, integrates poorly, and suffers from bad support
Comentarios: The company only offers support by Chat or Email - there is no way to get someone on the phone. I did not realize this when signing up, and find it a maddening waste of time when you have a real problem to solve (and you will have problems!)

The Scheduling module works well for our 25-person veterinary practice where staff work rotating schedules. We can set up templates for each group and quickly deploy and tweak the schedule.
Contras:
We tried to integrate with Gusto Payroll to streamline time-sheet reporting. It's a mess, and does not often work. It's really hard to troubleshoot because WhenIWork hides all the integration details. For instance you can not see the mapping of employees and their roles/jobs between the two companies. After a while I realize that it's faster to manually type in all the data since troubleshooting this is so time consuming. Plus you can not get support on the phone!

Has a lot of potential, but isn't quite there yet for our needs.
Comentarios: Overall, I wanted this to really work, but it's been frustrating. I do acknowledge that we work in a non-traditional industry. I am a team member at an NFT company with world-wide employees who all work from home. We need our community server covered 24/7 and so I need to be able to schedule people 24/7, but in *their* timezone in order to make sure that I have everyone working during normal hours in *their time* (as opposed to 4am their time). I can't make "shift templates" in one time zone and then make shifts in another timezone for the auto scheduler. There is no way for me to denote "Hey, I want my APAC crew to be scheduled these APAC hours, but NOT my US crew". I've spent many, many, many hours trying to figure out how to "game the system" to make it work for us. I can do it but it's very cumbersome, hands on, and takes a lot of time (which is the opposite of what I was hoping a scheduler would do. I was hoping to SAVE time.) I reached out to the team at one point to report the bug where the auto scheduler was ignoring unavailable time, and received a followup email letting me know it was fixed, but I still experience the issue every time I go to make a new schedule. This may be a FANTASTIC piece of software for traditional work-force, but hasn't been what I was hoping thus far for the industry I work in, that requires 24/7 scheduling with employees all over the world.

-Allowing for employees to be in different timezones -Allowing for employees to set their unavailability and their preferred scheduling times -Allowing employees to shift swap within the software
Contras:
-Software is often buggy. It auto schedules my employees during times they are marked as "unavailable". This may be due to the fact that we have people all over the world and could be a time-zone issue, but the fact remains that they are often scheduled during "unavailable" times, and it has to be adjusted. -It also doesn't seem to honor the "schedule weekends first" feature correctly when I'm using auto scheduling. One of my employees ends up never being scheduled and I have to adjust. (TBF I have to adjust EVERYONE'S schedule after using the auto scheduler, but the issue with this one employee in particular is consistent and weird.) -Making shift templates is cumbersome. -There is no way for me to view someone's schedule in their timezone (and I'm talking about Singapore vs. CST) without switching my OWN timezone preference, which requires me to then immediately refresh the site or it won't show properly. -There is no "undo" -- If I have a schedule pushed and I need to play around with a swap, the moment I shift someone's shift, it goes into draft mode and if I decide, "Hey, I'm gonna actually just leave them where they are," there is no way to undo the movement without republishing (and sending them a notification) the shift. -Shift swapping doesn't allow for a FT employee to cover a PT employee's shift if they want, or for a PT employee to cover part of a FT employee's shift. I have to manually do this.

Acceptable product quality but poor service
Comentarios: I've been using it so long I don't remember the sales and implementation process. It's probably time to start shopping for a new solution, but I can't be bothered because my staff are used to it and it basically does what's it's supposed to.
Puntos a favor:
It is fairly easy to build the schedule every week and staff get notified right away. The time off feature works really well. I like the "Open Shifts" feature for weeks when we are short staffed.
Contras:
So many things, but mostly that I have used it for 7 years and it has hardly evolved. Or at least when they do add features, you almost always have to pay for them. I made some changes a few years ago that broke somethings and tried to get someone on the phone and was basically told that I dont' qualify for phone support. They didn't solve my issue (I'm just tolerating it). Kind of annoying considering that I hav epaid about $8400 USD for this software over the past 7 years. I feel I'm worth a 15 minute phone call to troubleshoot my issues and make it work better for me.

Great scheduling app with tons of features!
Comentarios: Scheduling is EXTREMELY easy! Long gone are the days of paper postings and random email messages. It is VERY nice being able to reference your entire schedule from the moment it is posted, going all the way back to your initial employment. Even those with little to no computer experience can use it fairly easily.
Puntos a favor:
It is EXTREMELY easy for the end-user to utilize this software. There are also some pretty good mobile applications that it offers which makes tracking your schedule very easy!
Contras:
There are a lot of overly-helpful tips and suggestions that constantly spam the administrators' email accounts and scheduling interfaces. (Essentially the company does this to assist the administrators, but there is no way to stop it, which makes it very annoying after awhile). The mobile application can also be buggy at times, and the website schedule does not work properly on mobile phones that don't have a "desktop view", as the website does not have a mobile version designed for it. This forces you to use the mobile app on mobile devices unless your mobile phone can display it in a "desktop view". On a normal computer interface, this works just fine.

Comentarios: over all we are happy and will be staying with the system. we would much rather help them develop there product the switch to another system. while we went there at the very beginning I think it was close an it has been useful and stable all along.

used on phones. multiple site capability. we started with one location with the knowledge that as we gained locations this system could grow with us with out having to buy into a large expensive system before we were ready.
Contras:
the workchat function is still in need of some attention. deleting old chats isn't obvious. Sometimes when writing longer texts the system will stop displaying the text being written after about 200 characters, then the whole text will be displayed when sent. can't edit or delete a posted text. posting pictures can be confusing although they do post. the chat is about 75% there just needs a little buffing up, this is a pretty big part of our administration as to a great degree we manage from offsite.

Good for specific types of companies; we needed additional functions
Comentarios: This software seems to be developed and used for companies whose locations do not change. I can see why restaurants and small stores would be very happy with this app. However, there is a large market "out here" for companies who send employees to many locations to have an app they can use also (housekeepers, landscapers, moving/packing companies, etc.).
Puntos a favor:
It has many of the features we needed for scheduling employees. We liked that more than one location can be scheduled for different employees, even sometimes on the same day. When we finally figured out how to use it, the map function was convenient because we go different places nearly every day. We liked that employees could see who was working with them each day.
Contras:
There is no ability for employees to decline a shift. For several years, we requested the company add this feature. This turned out to be a deal breaker for us, and we finally went to another software. I also thought it was odd that when a loyal customer of many years left, no one from the company contacted us to find out why. Interestingly, the software we changed to also costs less per month, in spite of the fees they charge us for employees to accept/decline shifts by text message.

Nice entry level scheduling product
Comentarios: This is a huge time saver for me, as my time spend for scheduling and totaling time cards has dropped significantly. Additionally, my staff can easily swap shifts making it easier for them.
Puntos a favor:
This tools allows me to more easily schedule my staff with my staff entering their unavailable times which display when I am scheduling. The time tracking in the application, allowing my staff to clock in and out on the app is great. All of their time is tracked, and I get their total time worked at the end of each period which has saved me hours of my time already.
Contras:
Some features seem to need a little more work. Additionally, this tool has required a lot of experimenting to figure out how I can use it best for my business. The task lists are great once they are figured out. Unfortunately, updating (reordering the items) is not easy. Additionally, my staff have struggled a bit with marking tasks complete on the wrong shift, causing issues. The fact that the Android and iOS versions vary in navigation on the phone has also led to issues in the "implementation" of the product. Extraction of the time totals is not great, as it only works for certain products. I end up manually transferring time totals from this tool to my payroll system.

We started using When I Work to do scheduling and time clock for our 130 desk-less employees
Comentarios: It saves us a lot of time. We have 130 college students that work for us and they are always swapping shifts or need a shift off for an exam or something like that. They can do all of that through When I Work and I don't have to be the middle man in any of that anymore. It also helps hold them accountable. It makes them acknowledge their shifts and tells them that they are still responsible for the shift until someone accepts it (and notifies if/when it is accepted). It is nice that they get that reminder every time they need to drop a shift and I don't have to find them and remind them all of the time.

We love the fact that our employees can access it on their phones. Our employees are college students, so being able to use it on a mobile device is crucial. Our old program didn't have that functionality. I also like that I can go in and move someone's shift to "open" for any other employee to accept. Since our employees are college students and anything required for a course is excused from work, so it is really nice to be able to go in and move a shift for an employee that has an exam or something like that. I also like that employees have to acknowledge their shifts.
Contras:
Two things - I can't go in and schedule just one person. We are on a college campus that operate on quarters. I would like to be able to look at an individual schedule for a certain time period and edit it as necessary, but that functionality doesn't exist. My employees are frustrated with the notifications. It is great that someone can do a "drop shift request" that goes out to all of the other employees, but it is frustrating to get 10 emails about that. We (mainly our hourly employees) wish there was an option to get the notifications in a digest once a day instead an email for every single notification.

Manage staffing, scheduling, and attendance of your team for free

It’s a great application if you handle a large team and you need to keep track of your employees schedule, time clock , and shift staffing. It can handle up to 75 users. We used this application when i joined a part time job in sales. And it was easy to set up both in desktop and mobile. And when i logged in I can see all members of our department in the Team messaging feature. You can easily read and track all conversation within the team. Choosing your shift or schedule was easy. Just add the shift or schedule you chose for up to 2 weeks and the Manager can view your schedule for the day. Time clocking was easy, just press the IN button and break button if you are on break. Its an awesome application and whats good is that its free to sign up and use these features.
Contras:
Well since its free, the features and function are just limited to what the employees clicked on the app but no screenshots of their desktop or other feature that other time applications have that can testify that the logged hours are indeed productive. Unlike Some paid applications that would have integrations to payment system after approval of hours, When I Work does not have other app integrations that would be complete the staffing and accounting system of your business. But so far everything went fine for this application, and moving through features or tabs does not hang and does not have much errors.

Do you have around 30 employees? THIS IS WHAT YOU NEED!
Comentarios: We love the ease of communication with this software. Work Chat is a HUGE benefit for us. Many of our employees check this feature better than checking their emails! We also love the "copy and paste" feature. We are able to copy the current week's schedule and then paste it to the next week. Then we make minor adjustments to the schedule, save and publish to all employees with a click of a button. Then scheduling is DONE!

We love this program for the ease of communication with all of our employees. Communication is always something we strive for and with ever-changing schedule needs, this program eliminated our extra steps to be sure everyone was communicated with. With the quick change of a schedule, those affected would receive a notification immediately and know what their new upcoming schedule would be.
Contras:
So far anything that we have had concerns with, we were able to contact WIW employees and it was addressed and fixed or we were educated in how to make that process work best for our center!

Love When I Work. Easy to use, and the customer service is outstanding!
Comentarios: Being able to go paperless was the biggest benefit. Also, the ease of the software makes it easy for Supervisors to make schedules and track hours.

Love the ease of the software, super user-friendly. Also, like that it is easy for all generations to use. Love that all requests can be made online, helping to eliminate paper.
Contras:
Would like to see more options for tracking employee hours as far as the reporting goes. Also, other features like tracking employees who work different positions, and being able to report on those hours. Also would like for it to track employee hours who no longer work with us anymore. Don't like that once the employee is removed from When I Work, all of their history is removed as well.

Makes scheduling a breeze!
Comentarios: I love it! Have I said that enough? Give this software a try if you're in charge of scheduling any number of employees. They can have it as an app on their phones, too, so it's super easy for everyone to use.

I love this software! I manage 50 student employees, and until I discovered When I Work, scheduling them was the biggest headache! This makes it so easy. I have each of them input their weekly availability, and then when I go through each week to create our schedule, I can quickly see if someone is available for a certain shift. They can request time off, request to drop shifts and offer it to another student, and confirm shifts. I can't say enough good things about When I Work. It's easy to figure out and has made a world of difference in keeping our ambassadors accountable for their shifts.
Contras:
I don't have any complaints about this software. We've been able to manage just using the free version that allows me to schedule shifts 10 days out, and it's been great. In the future I would love for our office leadership to approve using the purchased monthly subscription, but I'm so grateful When I Work has the free version because we've been able to give it a try and have found that it's an amazing scheduling tool.

It's a simple and easy solution for scheduling. The managers Like being able to view on a computer , staff use the app to see their schedules.
Contras:
The is no where for managers to make notes on employees regarding that schedules. - example while an employee did not show up to work - if you use the shift notes every is notified . Haven't yet been able to see if you can create a small group chat - example only managers.

When I Work does offer the internal "Shift Notes" on an employee's particular shift. If you add these notes, only the employee will see and be alerted with these notes/changes. Furthermore, you may be able to use "WorkChat" to communicate with staff and/or other managers when staff do no-show.
